We print out all of our rental receipts. Whilst talking to another agency they said whattttt..... na don't print receipts. How do you manage your receipts.

We have REIQ trust account triplet receipt books which we use for all our receipting so we can just hand the customer a receipt then and there on the spot. We don't print console receipts at all.

We print all our reciepts right from console.... send one to the tenant and file the duplicate.

Most of our tenants pay by direct debit so we only print the receipt if the tenant ask for one, we print a ledger and give this to the tenant when doing inspections.

most of the transaction is DD. we print out all the receipts, original handed to tenant and duplicates filed in tenants' folder.
any better way to safe space and environmental friendly? |

The link below is the part of the act that refers to this in NSW -
http://www.austlii.edu.au/au/legis/n...03476/s25.html (6) A licensee must retain: (a) any original receipt that is not issued to the person from whom the trust money is received, and (b) any original receipt that is cancelled after it is prepared, and (c) duplicate receipts. (6A) Despite subclause (6) (c), a licensee is not required to retain duplicate receipts in relation to money received if an electronic record of receiving the money was made as soon as was practicable after the money was received. I take it from this that due to the particulars that are required on the receipt under the act i dont think a bpay receipt number qualifies as a receipt and a receipt must be issued in duplicate. The original must be kept and available on demand to the person whom has paid the monies, the duplicate doesnt have to be kept if there is an electronic copy but it appears it must be printed to begin with. Thus receipts must be printed however if you have an electronic system you dont need to keep the duplicate in your office and if you send the original to the tenant you dont need to keep that either meaning there would be nothing that required checking. NSW records must be kept for three years ? http://www.austlii.edu.au/au/legis/n...2385/s104.html I print both original & duplicate and then just file in folders called receipts, this way the original is easily found if need be they are in receipt number order. As we are doing 60 a day i am not going to file them in the individual files as this wastes time and filing space in the files plus makes them harder to fine if someone actually ever wanted a copy rather than just a ledger. The folders are then archived in boxes with the numbers on. I have been keeping all records but may dispose of some now as they are building up much more than three years more like nine.. I would be interested what advise the REI has provided members ??? Would printing to pdf be sufficient ? There is a huge waste of paper.. I would also be interested in knowing what the companies whom trust accounting is outsourced to do or the big property managers such as RuN as they must be printing 1000 plus receipts a day ??? |

We print out all our receipts and store them in Marbigs. At previous offices, we never used this system, as we could always generate a reciept when needed.

You are right Christ,
we always print all out and file in storage room in numerical order so that easy to access by auditor.

hi we need to keep the trust account receipts for the auditor,
tenants receipts are either handed to the tenant or by dd used as scrap paper to make notes |

Our new auditor has told us that all receipts must be signed by the person who issues them. This means that EVERY receipt has to be printed (or set up individual receipt templates in Console with each property managers signature on, then have to change the template each time you print a receipt.....). We have now set up our template with our Principal's signature on all receipts. Our previous auditor did not insist on this and in fact, had never even mentioned it! It does seem a bit ridiculous to print all receipts because we have the option of re-printing them at any time. Whatever happened to our so-called 'paperless' office????

Can anyone advise when printing receipts to PDF using the banklink wizard is it posisble for them to be printed in one batch or else with the receipt number as the file name and automatically saved ?
I recently tried printing an imported receipt file to pdf however every receipt popped up and had to named and saved.. This seems like it would be very time consuming.. If they all printed automatically to a single file this would seem much better ? Any advise on this ? Thanks .. |
